Managing Bounced Emails from Your GME Lifecycle Pre-Alert
Overview Receiving "undeliverable" notifications is a standard part of the survey process. Whether you are fielding Entry, Midpoint, Exit (recent grads), or Alumni surveys, contact data can often be out of date or contains typos. Because the success of your Percept Research GME Lifecycle Survey depends on a high response rate, managing these bounces early is critical.
Why the Pre-Alert is Critical to Your Success
The pre-alert message is not just a courtesy; it is a strategic diagnostic tool sent before the official survey launch. Sending this early allows you to:
-
Identify Technical Hurdles: Locate "bad" or malformed email addresses before the survey invitations are sent.
-
Establish Trust: It identifies Percept Research as your authorized 3rd-party research partner, which prevents invitations from being flagged as spam.
-
Set Expectations: It tells respondents when the survey will arrive, how long it takes (usually 10–12 minutes), and emphasizes that this data is used for program improvement, not just data collection.
What to do with Bounced Messages
When a pre-alert bounces, it is important to investigate why. Is it a "hard bounce" (dead email), or simply a malformed address (e.g., name@gmial.com)?
1. Report Bounces to Percept Research
Ensure that you report the list of bounced emails back to your Project Manager, Jerry Sabo. Providing this feedback early allows us to scrub the list before the official survey launch.
2. Provide Alternative Contacts
If you have a viable alternative email address for a bounced contact, please provide those to us. This ensures the survey reaches the intended respondent and maintains the statistical integrity of your reporting.
3. Batch Replacements & Targeted Invites
-
Data Updates: We can coordinate a secondary data import for corrected addresses.
-
Specific Outreach: Depending on your timeline, we can send targeted invitations to only the corrected addresses to ensure they aren't left out of the research.
Impact on Reporting
Please keep in mind that extensive data cleanup may require an extension of the fielding period. While we aim for maximum participation, extending the window may shift the delivery dates of your final GME Lifecycle reports and dashboards.
Need assistance? If you have a list of corrected addresses ready for import, please contact Jerry Sabo directly to coordinate the update.
