What do you mean by accommodating up to 3 fielding events per year for the Entry and Exit surveys?

When you say that you assume up to 3 topline summaries/fielding events per year for Entry/Exit, does that mean you survey incoming students at orientation and then again at the end of their first year? And why would there be up to 3 summaries/events?

What do you mean by 3 fielding events per year?

Our fee model is designed to accommodate multiple cohorts for the GME Student Entry Survey and the GME Student Exit Survey affordably. With the Roadmap and Guidance packages, we will provide up to three Topline Summaries per current fielding year if your program has more than one intake or outtake of students for the Entry, Midterm, or Exit surveys, respectively. This will allow your program to administer the survey to your students just as they are entering or leaving your program for optimal response rates and at a higher level of accuracy with recency.

IDENTICAL SURVEY QUESTIONS: The survey administered for each intake or outtake must be identical. Thus, if you registered for the Custom Survey Option, the custom questions will appear in each survey within the fielding year.  

This approach does not imply that a program could conduct a survey for incoming students at orientation and then repeat it at the end of their first year. In that scenario, an Entry Survey would be appropriate for the incoming students and a Midterm Survey appropriate for the first-year students. The multiple fielding events per year are incorporated in the fees separately for Entry, Midterm, and Exit surveys.

For example, many programs have outtakes in December/January (usually a smaller group of students) as well as in the spring (usually the largest group of exiting students), and sometimes in June/July as well. In this scenario, we will not charge your program for each survey conducted in the fielding year because we want your program to achieve optimal response rates and recency for more accurate results reflecting the sentiment of your students.

The fees apply to the current fielding year only. For example, if a program that has 3 outtakes (May, December, July) registers for the 2023-24 Exit Survey in October 2023, the fees accommodate survey fieldings for July 2023, December 2023, and May 2024 as the Exit fielding year is July 1 - June 30. Thus, this program would have to register for the 2024-25 Exit Survey to capture the July 2024 cohort.

How does our program indicate how many surveys we will need for the fielding year?

Programs only need to register for the survey once for each fielding year. Programs will indicate the number of intakes or outtakes that will be required in the registration form for the current fielding year.

If you are going to require an additional Topline Summary, please indicate this need in the Special Request box in the registration form. For example, if you are administering a survey in April and June, you would insert the following text “additional Topline summary needed for June cohort” in the special request box before submitting your registration.

To administer a web survey to multiple cohorts, you will need to indicate the number of intakes/outtakes on the registration form and provide a separate list (batch) of email addresses for each cohort. 

To administer a print version of the Student Exit Survey to multiple cohorts, simply print the questionnaire for each cohort and indicate the cohort name on top of the questionnaire template before you print multiple copies for your students. Please be sure to alert Percept Research that you plan to send separate cohort batches in your registration form.
